Body Corporate Management Services

Our mission is to manage your body corporate efficiently and to minimise the amount of time owners need to spend on the body corporate aspects of their property, whether it is their home or an investment. The services that we provide are fully set out in the management agreement that we enter into with the body corporate.

The pertinent details of the agreed body corporate management services are as follows:
  • Convene, attend and distribute minutes of the Annual General Meeting;
  • Distribute all required notices, minutes, including minutes of all committee meetings and ensure that all the     requirements with respect to meetings are met;
  • Issuing your levy contribution notices at the designated times and attend to the banking all of levy payments as and when they are received;
  • Paying all of your body corporate bills, including accounts for insurance;
  • Operate the body corporate bank accounts (such bank accounts being for your body corporate exclusively, as we do not operate any form of clearing account system and all bodies corporate under our management have their own separate bank account);
  • To ensure that proper records of the Body Corporate, including the Roll are maintained and to this end to possess and care for the books and records of the Body Corporate;
  • To prepare when necessary budgets and reports and to maintain records to enable the preparation of such;
  • To prepare annual statements of accounts of the Body Corporate, as well as regular interim accounts for the committee;
  • To generally deal with inward and outward correspondence to the Body Corporate and regularly inform the Committee of the nature and importance of such.

Some of the additional services that CAPITOL can provide include: 

  • Services outside of normal business hours
  • Additional preparation of notice of meeting, distribution of minutes and attendance at meetings 
  • Prepare and distribute other levy notices (e.g. utility on-charging notices)
  • Provision of advice to individual lot owners
  • Liaison with independent contractors
  • Provision of payroll, superannuation and employee related services for any Body Corporate employees
  • Recoding of Body Corporate petty cash and expenses
  • Assisting the Body Corporate in the application and enforcement of its by-laws
  • Preparing and answering non-routine written communications
  • Collecting overdue or unpaid contributions.
